Octatube values the privacy of you as an applicant. We therefore treat your personal data with the utmost care, confidentiality and in accordance with the law and regulations. We only use your data for recruitment and selection purposes.  

Why we process your personal data

We only process the data you provide us with via the (digital) application form, via e-mail or by telephone, in order to determine your suitability for a role within our company and to maintain contact with you during the recruitment and selection process. We do not collect, store or use the data for other purposes. 

For example, we use your personal data to:

• match your application against the vacancy and associated qualificationS
• contact you for a further introduction and/or to schedule a job interview
• contact the references you have provided
• process your request for information
• comply with applicable laws and regulations
• possibly conclude and fulfil a contract between us
• inform you of other job opportunities that may be of interest to you
• Our website also collects data for the purpose of analysing website traffic and optimising the website.

What personal data we process

We collect data relevant to the recruitment and selection process. This data includes at least:

• your name, address and place of residence
• your contact details (telephone number, e-mail, etc) in order to reach you
• birth date
• any added photo
• link to your LinkedIn profile
• education(s), courses followed, internships
• your employment history.

If necessary, we will ask you for a certificate of good conduct and/or do an online screening/cv and reference check.

We do not collect special personal data, unless necessary to comply with a legal obligation.

Sharing of personal data

Your personal data can only be accessed by those directly involved in your application. We do not provide information to third parties unless we are legally obliged to do so.

Accessing, correcting or deleting your data

How long we keep your personal data

We will not keep your data longer than necessary for the application process. If you agree, we may keep your data longer to approach you for future vacancies. You can consent to this via the application form. We will then keep your data for a maximum of one year after completion of the application procedure. If you do not give permission, we will delete your data four weeks after completion of the application procedure. 

How we secure your personal data

We have taken measures to secure your personal data. Both organisationally and technically. For example, we try to prevent abuse, loss, unauthorised access, destruction, unwanted disclosure and unauthorised modification of your personal data. If a security incident nevertheless occurs that is likely to affect your privacy, we will inform you as soon as possible.
